job Description

Century West Engineering, a best-in-class Northwest civil engineering consulting firm, is seeking an organized and efficient billing specialist to support our accounting team with billing efforts. You will work in a highly detail-oriented environment to monitor timesheets and expense reports, set up projects, invoice clients, and more! Candidates should be hardworking, solutions-oriented, and adaptable to changing duties and priorities. This position reports to Accountant Rocky Brooks in our Portland office.

  • 2 to 4 weeks of vacation depending on experience

Duties and Responsibilities:
  • Monitor timesheets and activity codes
  • Process expense reports/billable expenses/in-house expenses
  • Execute project setups
  • Maintain project files
  • Produce prebills, edits, bills, and invoice
  • Data entry into client-required spreadsheets for invoice submittals
  • Manage technical staff and client requests
  • Process client receipts and electronic funds transfers
  • Organize and create client statements
  • Produce hold/WO reports
  • Track sales
  • Create purchase orders for subconsultants and billable items
  • Process write-offs and accounts receivable write-offs
  • Acquire and maintain insurance for projects
  • Complete Sub/Prime compliance audits and Reporting
  • Complete project closeouts
  • Demonstrate a proficient skill level with all MS Office products (Word, Excel, Outlook, and Teams) and Adobe PDF with a particularly high proficiency with Excel
  • Strong computer skills including MS Word, Excel, Outlook, Teams, & Adobe PDF
  • Knowledge of Bluebeam, MS Project, and Ajera a plus
  • Demonstrate effective interpersonal, oral, and written communication skills
  • Ability to work well in an environment where deadlines and priorities will change
  • Demonstrate excellent organizational and time management skills with the ability to prioritize and work effectively on multiple tasks in a fast paced, demanding environment
  • Be able to work under pressure in an effective manner
  • Meticulous attention to detail and quality of work
  • Work independently with broad guidelines; able to be self-motivated and manage time effectively
