job Description

Provides clerical and administrative support for a group or small office. Assists in preparing and distributing business development efforts. Types and files reports and correspondence. Sends invoices for the group’s projects. Tracks budgets and project accounts in accounting software. Enters group’s time sheets into accounting billing system, and tracks billable hours. The job involves a moderate to high degree of complexity due to the wide variety of tasks and deadlines and the importance of an in-depth understanding of the group’s project work. Incumbent is expected to determine his or her own practices and procedures, contributing to the development of new concepts. Incumbent receives a moderate degree of supervision, varying slightly from department to department. Work normally is verified by a section manager or project manager. Duties and Responsibilities:
  • Types and assembles business correspondence, reports, and specifications.
  • Types, formats, copies, and assembles business proposals. Is responsible for sending marketing proposals by mail or special delivery service.
  • Enters time sheets into payroll software.
  • Sets up and closes out an administrative file for each project began and ended by the project assistant’s department or group.
  • Maintains project files.
  • Assists in client relations through telephone and face-to-face contact.
  • Sends invoices to clients.
  • Analyzes weekly effort and accounts receivable, and distributes reports.
  • Prepares and sends the mail for the group.
  • Perform reception duties on telephones and mail when needed.
  • Supports other groups’ project coordinators when such help is needed.
  • Performs other related duties as assigned by management.
Supervisory Responsibilities:
  • This job has no supervisory responsibilities. However, the incumbent may direct other employees.
Qualifications:
  • High school diploma or equivalent, or 1 to 3 months related experience and/or training, or equivalent combination of education and experience. Some higher education or on-the-job training in computer software, especially in word processing and accounting.
  • Minimum Experience: 1 to 2 years of previous office experience is required. Knowledge of various company functions.
  • Basic math skills (add, subtract, multiply and divide).
  • Ability to operate office equipment: telephones, printers, fax machines, copiers, calculators, mail machine.
  • Ability to use computer hardware (keyboards) and software (advanced word processing including complex formatting, advanced spreadsheets, accounting billing software).
  • Accurate typing/keyboarding ability of at least 65 to 75 words per minute.
  • 10 key
  • Decision making, interpersonal skills, teamwork, customer service, use of discretion; must be able to read, write, speak and understand English.
  • Creativity, problem analysis, negotiation, perform basic math, training/supervising, independent judgement and independent action; mentoring, presentations/teaching, perform basic programming.
